# Unity Insights Client Portal

The main option available to clients is the ability to complete and submit **Data Protection Threshold Assessment** (DPTA) forms. These are typically part of an agreed process for providing data security and protection advice and guidance on the implementation of new programmes, procedures and systems.

**Recent Changes to DPTA Workflow and Other Notes**

A new feature of the DPTA option is the _‘Submissions_‘ tab. It supplements the ‘Past Forms’ tab, which has been renamed as the _Initial Assessments_ tab.

The workflow has been updated and is now as follows:

On receipt of your _Data Protection Threshold Assessment_ form, the DPO will:

1. Send you an acknowledgement email with a pdf copy of your submission
2. Check your submission
3. Add comments or questions in the DPO Notes field
4. Contact you for further details and clarification if required
5. Post a copy of the initial assessment in the table on the **_Initial Assessments_** tab
6. Update the submission status from _Draft_ to _Assessed_
7. Usually email an updated copy of your form
8. Post a copy of the DPTA in the table on the **_Submissions_** tab

The _Submissions_ tab record can be subsequently updated by you or the DPO and you can also export records from the table in csv format for use with Excel and other applications.

Further follow-up could include:

- Proposing actions as needed
- Providing assistance with tasks such as completing a full DPIA and checking or preparing documents

**Please note:** Due to system limitations there is a \[ _New Row – Please ignore_\] button at the bottom of the _Submissions_ tab page that would create records directly in the Submissions table. There is also an ‘ _Apply and Add New’_ option at the bottom of the pop-up editing forms that has the same effect. If changes are to be made to a record, the ‘ _Update_‘ option should be used instead.

**It is preferred that these options are ignored and not used.**

To submit new DPTA forms please always use the usual input form to be found on the first tab. This will generate an acknowledgement by email, ensure that the DPO is aware of your submission and post a record in the _Submissions_ table.
